How to build a tender document checklist
Tender packs can contain many instructions, forms and supporting documents. The safest way to organise them is to convert the instructions into a traceable checklist and keep each requirement linked to the evidence you plan to use.
Work from the issued tender instructions
Start with the documents supplied by the procuring entity and identify each explicit requirement. Keep the original wording available so your checklist does not replace the source instructions.
Separate requirements by evidence type
Group requirements into practical categories such as company information, declarations, technical response, financial response and supporting certificates. This makes ownership and review easier.
Track status without assuming compliance
Use statuses such as Available, Missing, Needs Review and Not Applicable only when the evidence supports the label. A checklist should expose uncertainty rather than hide it.
