How to organise records before a KRA tax review or filing

Good tax preparation starts with organised source records. ClerkOps does not file returns or make tax decisions for you, but a clean record pack makes it easier for you or your tax professional to identify missing information before submission.

Separate income from supporting evidence

Keep a period-based list of invoices, receipts and other income records, then connect each entry to the evidence that supports it. The goal is to make it easy to trace a number back to its source.

If a record is missing, mark it as missing instead of guessing the value or reconstructing it without evidence.

Organise expenses consistently

Use consistent categories for relevant expenses and keep receipts, invoices or payment evidence together where possible. For business or freelance expenses, add the purpose so later review is easier and unsupported entries are more obvious.

  • Supplier invoice or receipt
  • Payment reference where available
  • Date and amount
  • Purpose or category where relevant
  • Any unresolved difference or missing document

Reconcile totals before relying on them

Compare your working totals against the source records you actually have. If bank, M-Pesa or invoice records do not agree, keep the difference visible until you understand it.

A preparation checklist is more useful when it distinguishes complete records from records that still need confirmation.
