Record the expense when it happens

Capture the date, amount, supplier or payee, category and short purpose while the transaction is still fresh. Add the receipt or invoice before it disappears into a message thread or drawer.

Keep work and personal records distinguishable

Use clear categories or notes so you can tell which transactions relate to your work. The goal is not to force every transaction into a business category; it is to preserve enough context for later review.

Attach the payment reference

Where M-Pesa or bank evidence exists, keep the reference with the expense record. This helps when you later compare transaction history against receipts or supplier documents.

Review the exceptions each month
